Assigning items to locations

Item assignment to locations occurs during stock movements:

Operating principle

Unlike categories, an item can be distributed across multiple locations with different quantities at each location.

During a stock entry

  1. 1. Create an entry movement
  2. 2. Select the item concerned
  3. 3. Indicate the quantity received
  4. 4. Choose the destination location

During a transfer between locations

  1. 1. Create a transfer movement
  2. 2. Select the source location
  3. 3. Choose the destination location
  4. 4. Indicate the quantity to transfer

Best practices

Create a logical structure

Organize your locations consistently with the actual physical structure of your facility.

Use standardized nomenclature

Adopt a uniform naming system for all your locations (e.g., always 'Building X - Floor Y - Room Z').

Don't multiply locations

Only create necessary locations to avoid unnecessary complexity in management.

Add descriptions

Use the description field to add useful information (storage conditions, person responsible, etc.).

Review regularly

Review your locations during each physical inventory to update them if necessary.

Train your team

Ensure all users understand your location system and use it correctly.

Frequently asked questions

Can an item be in multiple locations at the same time?

Yes! The same item can be distributed across multiple locations. For example, you can have 50 notebooks at the 'Main warehouse' and 20 notebooks at the 'Library'. The system tracks the quantity at each location.

How do I move an item from one location to another?

Use a 'Transfer' type movement to move items between locations. Stock will be automatically deducted from the source location and added to the destination location.

Can I see all items at a specific location?

Yes, from a location's detail page, you can see the complete list of items stored there with their respective quantities.

What happens if I delete a location that contains stock?

You cannot delete a location that contains stock. You must first transfer or remove all items from this location.

Are locations mandatory during stock movements?

Yes, you must always indicate a location during a stock movement. This ensures you always know where each item is located.
